Pharmacy Inventory and Billing Software

Billing was done on an old desktop program that only ran at one counter. Batch numbers and expiry dates were tracked in a notebook, so expired medicines were often found too late, and the second outlet had no visibility of the main store's stock.

We studied the busiest hours at the counter and designed the billing screen around speed: search by name or salt, scan barcodes and finish a bill with the keyboard alone.

Stock had to be tracked by batch from the moment a purchase bill was entered, so everything else (expiry alerts, reorder lists, reports) would follow automatically.

The new system handles purchase entry, batch-wise stock, GST billing, returns and stock transfers between outlets. It warns the pharmacist about medicines nearing expiry and creates a reorder list when stock falls below a set level.

The owner can check sales, margins and stock for both outlets from a phone.

It is a web application with a FastAPI backend and PostgreSQL, so both outlets work on the same data. Barcode scanners and thermal printers were set up at each counter.

We migrated the existing item master and opening stock, then ran the old and new systems side by side for a short period before switching over.
